To use the MEDIAmaker Integrated Solutions approach to fulfil a communication plan prior to, during and after a bespoke live corporate event.
To use Integrated Media Solutions to communicate to 700 senior managers leading up to a produced live event and to continue to support them afterwards by providing source material, information and a feedback facility through a web solution.
Throughout the project, we should connect with a group of senior managers across more than 12 of the biggest businesses in the group. To encourage networking, interactivity, share best practice and develop a stronger ‘team’ approach.
After understanding the whole project objectives from the live event to the website, step one was to create an online Delegate Management System (DMS), our own event management system, to encourage and manage the invitation and rsvp process. This would form the basis of the online communication process and help delegates become familiar with the ease of accessing information and help.
The Ricoh Arena was chosen as the venue for the corporate event. The DMS included maps, directions and helpline information, enabling the delegates to arrive safely and on time.
After the live event, the content was edited and restructured for the purpose of cascade materials.
A post event website was created where delegates could access support materials, key facts, video edits of presentations and programmes and provide feedback on the whole event experience.

Online registration and post-event website
Delegates arrived to a welcome breakfast and refreshments made with their own products that would feature throughout the day. Promotions and stands around the area showcased those products and experts were present to share key information, selling points and facts and figures.
After a hearty welcome, delegates were seated cabaret style and an interactive plenary started with a video which provided a whistle stop tour of the history of the company and concluded with a current look at why the delegates should celebrate ‘Being Premier’ – our theme of the day.
Following the welcome and strategy of the day, delegates were quickly working on the part they would be playing by completing a strategic navigation game (Strat Nav™) in their table teams. By sharing best practice and understanding the ambition, delegates own strategy on moving forward was presented back to the room.
To build on this, all teams had to be like minded and aim in one direction, not an easy task when the businesses were at different stages of the strategy. A fun drumming exercise soon taught them that anything is possible if they put their minds to it and part two of the strategy exercise began with a better sense of community and ‘team’ working.
To help the focus of the day, the showcase of products and a closer look at consumer activity were also shared in breakout sessions and the day concluded with a positive team attitude to the next phase of their success.
A comprehensive post event website was created to support the objectives of the live event and to give delegates the key information and resource materials they needed for onward cascade to their own teams.
Delegates were invited to log into a secure website hosted and designed here at MEDIAmaker and to navigate through pages to help them through the cascade process. The content included rich media such as slide presentations, photographs, presenter video clips and a feedback form.
Throughout, the Events Management Team oversaw the team activities and recorded the outcomes and feedback.
The feedback from the event was excellent and the customer really appreciated the ease of creating a complete communications solution with one provider. The revelation that Integrated Solutions existed has now formed the expectation of projects going forward.
